Tips on improving the levels of customer convenience

We want to provide our clients with a hassle-free experience: their comfort is our business’s success. Keeping things smooth and steady is a serious task, but it becomes easier when you know where to start. Take a look!

1. Don't fear technology

Computer and mobile apps are here to help you and your clients, not to stress you more. Just Google “wellness booking software” and explore for a bit. There are dozens of user-friendly, intuitive, and secure programs made specifically for wellness, beauty, and healthcare providers — including small business owners.

With just one app you can:

  • Receive automated reservations from clients 24/7. They can come through any communication channel (text messengers, emails, social media, websites) — the app will collect them in one place;
  • Easily update your prices;
  • Send out non-spam messages in bulk to your clients based, as well as personalized messages;
  • Keep track of your supplies and stock;
  • Collect payments, etc.

A management/scheduling app like that won’t let you or your clients lose or miss important information. They also make everything much faster and keep your business available for bookings even if you’re not online.

2.Turn your online presence into an ecosystem.

Different customers prefer different Internet avenues. One person can check their Instagram once a week but is active on Facebook, another won’t ever reply to their Messenger texts, preferring WhatsApp — you get the idea. And your wellness business must be equally available for all of them, in order to build stronger customer relationships

But just creating business accounts on all social media platforms and text messengers isn’t enough. Your platforms should lead to one another. Here are two examples:

  • Your customer, let’s call her Mary, has discovered your business account on Instagram. She likes what she sees, and wants to make an appointment. She could do that by shooting you a DM on Instagram but she isn’t a fan of that method for personal reasons. Mary checks the accounts bio and sees a link to a landing page where you have collected widgets to your business website, Facebook, TikTok, booking calendar, and multiple text messengers. Mary chooses the calendar option and books an appointment.

  • Now imagine another customer, let’s call him Jake, who discovers your website and is intrigued — but wants to see more Instagram-like content to form his final opinion. Luckily, the website also contains widgets for your social media accounts and messengers. He clicks the Instagram one, explores your posts, DMs you a couple of questions, and books an appointment on the spot.

3. Create extensive client files.

You know how in health centers every patient has a file? It makes sense: you want to track and analyze a person’s individual history to offer correct treatment faster.

You might be doing that already if you’re a mental health consultant, a massage therapist, a dietitian, or a holistic medicine specialist. But it’s a great practice to adopt for beauticians, lash and nail technicians, or Yoga and fitness instructors.

A file should contain a customer’s preferences in treatment in procedures, crucial things like possible allergies, plus your observation and recommendations. This will help you do quick homework before the customer arrives, check if you have necessary supplies for their sessions, etc. You’ll save so much time and energy, and clients will be impressed with your professionalism. Who doesn’t like a specialist who always has it together?

4. Reduce wait times

This is actually another case in favor of scheduling apps. Their booking calendar will help with evaluating your time correctly, and their multi-messaging feature — with sending appointment reminders and guides for first-timers, sharing a dropped pin for your office, etc.

In order to fight wait times risk, you also have to fight no-call no-shows who quite literally waste your precious slots. Consider introducing non-refundable deposits, and saying goodbye to the clients who keep missing the appointments without letting you know.

If you realize you, yourself, are running late, or have to take additional time with a certain customer, notify your next client as soon as possible, so they could be prepared to wait or make a change of plans. Time overlaps will occasionally happen. For that case, a comfortable waiting room with upholstered furniture, coffee, and treats is also essential.

5. Become independent from a fixed location.

You can’t be everywhere at once, but you can meet your customers where it’s most convenient for them. It’s possible by booking on-demand wellness and beauty treatment spaces — in any location you and your client need. You pay an hourly fee, book as many hours as you need, and are free to move to another rental as many times as you need — monthly, weekly, or even daily.
